In IT, one of the most overlooked but critical practices is data backups. Many people assume that if something goes wrong, IT can always recover lost files. However, the truth is that without a proper backup strategy, data loss can be permanent. As a result, whether you’re a small business or a large enterprise, backups are not just a safety net they’re a necessity.
A backup is a copy of your data stored separately from your main systems. It’s your insurance policy against unexpected events.
Backing up once a year or even once a month isn’t enough. Data changes daily, sometimes hourly. A good backup strategy includes frequent, automated backups to ensure nothing important is lost.
One of our clients recently experienced a serious data loss incident that highlights the importance of regular backups. At the time, the client had been working extensively on their local PC but hadn’t backed up any of their files to SharePoint or another cloud‑based system. Unfortunately, the computer crashed unexpectedly, and as a result, they were unable to access any of their work.
They reached out to our IT team for assistance. After assessing the situation, our team discovered that systems stored the files on the PC’s internal SSD (Solid State Drive). To recover the data, the team used a retired sandbox machine (a secure, isolated environment used for testing and recovery), where they carefully removed the SSD from the client’s damaged PC and connected it to the sandbox system. From there, they were able to access the drive and successfully recover the files.
Without properly backing up data, a single mistake, unexpected machine failure or cyberattack could wipe out years of valuable data. By understanding the importance of regular, secure, and tested backups, you can protect yourself from costly downtime, data loss, and reputational damage.
