Job Summary:

We are seeking a skilled and experienced Projects Coordinator to join our dynamic team. As a Projects Coordinator, you will be responsible for managing short and long-term projects, overseeing contracts, and building strong client relationships. Your role is crucial in ensuring successful project delivery, meeting client expectations, and achieving business objectives. The ideal candidate is organized, proactive, and thrives in a fast-paced, innovative environment.

Objectives of the Role:

  • Manage and coordinate short and long-term projects throughout the full project lifecycle.
  • Develop detailed project plans, timelines, tasks, and resource allocation.
  • Collaborate with the legal team to review and manage contracts, ensuring compliance and monitoring deliverables.
  • Procurement of resources needed for projects.
  • Establish and maintain strong client relationships, serving as the main point of contact.
  • Understand client requirements, address concerns, and manage expectations effectively.
  • Coordinate cross-functional teams, assigning tasks and ensuring effective communication and collaboration.
  • Identify and mitigate project risks and issues, implementing corrective actions.
  • Prepare regular project status reports, documenting progress, milestones, and budget utilization.
  • Ensure project deliverables meet high-quality standards and align with client expectations.
  • Contribute to the development and improvement of project management processes and methodologies.
  • Client and Stakeholders management to ensure they are kept updated.
  • Document and ensure company processes are followed and updated.
  • Assist from time to time with Admin, Sales and HR tasks.
  • Run daily/weekly stand ups with the team.
  • Use appropriate technologies/tools for project coordination
  • Stay up to date with industry trends and best practices to enhance project delivery capabilities.
Daily and Monthly Responsibilities:
  • Manage and coordinate multiple projects, ensuring adherence to scope, budget, and deadlines.
  • Develop project plans, including timelines, tasks, and resource allocation.
  • Review and manage contracts, ensuring compliance and monitoring contract deliverables.
  • Act as the main point of contact for clients, maintaining strong relationships and addressing their needs.
  • Understand client requirements, concerns, and expectations, and communicate them effectively to the project team.
  • Coordinate and collaborate with cross-functional teams, assigning tasks and monitoring progress.
  • Identify and mitigate project risks and issues, implementing appropriate corrective actions.

  • Ensure project deliverables meet high-quality standards through rigorous quality control checks.
  • Contribute to the development and improvement of project management processes and methodologies.

Skills and Qualifications:

  • Tertiary in project management, Business Administration, or a related field
  • Proven experience as a Project Coordinator or similar role, managing projects from initiation to closure.
  • Strong knowledge of project management methodologies, tools, and best practices
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Exceptional communication and interpersonal skills, with the ability to build and maintain strong client relationships.
  • Strong problem-solving and decision-making abilities, with a keen attention to detail
  • Proficiency in project management software and tools
  • Knowledge of Office 365
  • Experience in managing contracts and legal documents is preferred.
  • Ability to work collaboratively in cross-functional teams and manage diverse stakeholders.
  • Familiarity with the digital and technology landscape is advantageous.
  • PMP certification or similar project management certifications are a plus.
